Accounting Clerk

Reports To: Accounting Supervisor

Job Purpose: To support the success of MBA by completing and ensuring the accuracy, timeliness and record keeping of the accounts payable and accounts receivable functions, and providing other accounting assistance as needed.

Key Responsibilities and Accountabilities:   

  • Check legitimacy of vendor invoices and process payments in a timely manner.
  • Credit Card payment processing, including collecting & matching receipts, coding, and paying in a timely manner
  • Maintain ongoing vendor relationships
  • Keep subcontractor’s certificate of insurance current
  • Ensure that a W-9 is on file for each vendor
  • Collect and maintain Trade Partner Agreements
  • Calculate and submit monthly Sales & Use Tax
  • Prepare vendor lien waivers as needed
  • Complete Credit applications as needed
  • Order and Issue company credit cards for new employees as needed
  • Prepare and post miscellaneous journal entries as needed
  • Properly process and maintain various accounting files
  • Create and submit annual 1099 and 1096 tax forms
  • Create weekly Billing report
  • Send weekly Billing invoices to clients
  • Maintain Procedure manual for position
  • Participate in department and company efforts to increase efficiencies
  • Provide support to Supervisor and Controller as needed

 

 Minimum Education and Skills Requirements:

  • Associate degree in accounting (or related field and/or relevant work experience)
  • Accounting experience with job costing a plus
  • Proficient at 10-key
  • Working knowledge of Microsoft Suite programs with a focus on Excel
  • Able to work independently with minimum supervision
  • Demonstrate effective communication skills with all levels of associates
  • Strong organizational skills, and attention to detail
  • Demonstrates accountability by consistently following through on assignments and commitments
  • Completing tasks in a timely and reliable manner
  • Handles sensitive information appropriately
  • Adhere to safety procedures
  • Strong problem-solving skills
  • Ability to sit and/or stand at desk for extended periods of time.  Regularly walk, talk, hear, view computer screens, type and occasionally lift up to 20 lbs.
