Administrator Assistant

Reports To: Design Manager
Job Purpose: To support the sales success of MBA by providing support to the Design Team.
Key Responsibilities:
- Assist design team with administrator aspects of the design process from conception to completion (appointments, quotes, data entry into CRM, etc.)
- Support Designers as needed.
- Maintain and organize project files, contracts, and digital assets
- Schedule internal meetings, client appointments, and vendor meetings
- Prepare meeting agendas, notes, and action items as needed
- Follow up on outstanding items such as approvals, selections, or requested information
- Help track selections, quotes, and approvals throughout the design process
- Assist with document preparation, formatting, and version control
- Manage printing of design layouts
- Assist with maintaining Design Studio samples and supplies
- Provide excellent customer service to both internal and external clients
Minimum Requirements:
- 3 – 4 years previous experience in an administrative or design-support role.
- High school diploma required; associate or bachelor’s degree or certificate in design, business, or related field preferred.
- Proficient in Windows, Microsoft Word, Excel and Microsoft Outlook
- Strong attention to detail and time management skills
- Ability to successfully support several designers at a time
- Perform duties in an efficient, professional, and courteous manner
- Excellent organization, communication, and time management skills
- Have your own transportation, valid class E driver’s license, auto insurance, and ability to transport yourself and materials between jobsites
- Ability to work overtime and weekends as needed
- Ability to talk and hear; stand and sit for extended periods of time, walk, kneel, bend, work with your hands, and move up to 30 lbs. independently
